Administrative Assistant

  • Minimum Requirements: High school diploma required

  • Must have 3 - 10 years of related experience required

High-Level Tasks/Project Responsibilities:

  • Providing administrative support for Director(s) of SCS Research & Development (R&D) including calendar management, expense report reconciliation, and travel management – flights, hotel, car service/rental, meals

  • Performing various administrative duties including R&D department calendar management and coordinating meetings and events, including catering, room set-up and breakdown

  • Serving as department timekeeper including responsibility for government project time entry, retention, and submission as directed by government compliance

  • Reconciliation of government expense reports as directed by government compliance

  • Performing various administrative duties including procuring and maintaining office and breakroom supplies, and coordinating office maintenance

  • Assisting with purchasing support, invoice submission and reconciliation

  • Maintaining department documents and participating in record retention efforts

  • Ensuring adherence to Southern Company administrative, accounting and compliance procedures

  • Providing backup assistance to other administrative support personnel

  • Performing ad hoc miscellaneous administrative assignments as directed

Job Experience needed:

  • Experience in an administrative support role in an office environment (assistance to manager and director level preferred)

  • Demonstrated strong personal computer skills using Microsoft Office products (Outlook, Word, Power Point and Excel), also experience with accounting software/Oracle and Maximo preferred

  • Experience working in a fast-paced office environment with a proven ability to successfully handle multiple tasks simultaneously is strongly preferred

  • Proven exceptional interpersonal, written and verbal communication skills

Knowledge, Skills & Abilities:

  • Current administrative skills necessary to support director level position (i.e. excellence in written and verbal communication, customer service, calendar management, schedule and meeting management, travel arrangements, expense and invoice processing, and phone etiquette)

  • Strong organizational and time management skills including the ability to prioritize, multi-task, perform activities from multiple personnel and meet deadlines required

  • Must be skilled in working with Microsoft Office products and have ability to assist with new procedures, processes and programs

  • Ability to interact professionally with a variety of position levels and personalities (internal and external clients, management, peer administrative personnel and department employees)

  • Strong listening skills with the ability to concentrate and demonstrate patience

  • Ability to make decisions and anticipate next steps
