The Senior Administrative Assistant provides advanced-level administrative support to the Vice President of Corporate Communications and direct reports of VP.

Functional Expertise:

  • Schedules and maintains VP calendar; schedules internal and external meetings; coordinates rescheduling to meet business demands and time constraints; ensures VP fulfills business and personal meeting obligations. Answers and screens in-coming phone calls; reviews and screens email.

  • Prepares presentation materials (e.g., PowerPoint presentations, handouts); arranges logistics for meetings (e.g., conference rooms, refreshments, audio-visual equipment, participant invitations, etc.).

  • Prepares, reviews and updates correspondence and communications as requested, including reports and presentations.

  • Plans and coordinates logistics for meetings and special events (e.g., conference rooms, audio-visual, participant invitations)

  • Coordinates travel arrangements (e.g., air, hotel, ground transportation, restaurants).

  • Maintains internal email distribution lists to ensure accuracy.

  • Develops standard and ad-hoc reports; analyzes and summarizes data for management use (e.g., quarterly leadership report, weekly media report, etc.).

  • Attends staff meetings; compiles and distributes team reports and meeting minutes.

  • Coordinates office administrative functions including budget tracking and variance analysis, purchasing/expense reporting and documentation. Reviews and reconciles purchasing card expenses; enters into PeopleSoft financials for payment processing.

Education, Certifications/Licenses:

Required:

  • Associate’s degree in Business or Office Administration or similar discipline OR equivalent academic education and experience

Related Work Experience:

Required:

  • 3-5 years executive administrative experience

  • Demonstrated ability to understand and work effectively with different functional areas within the Company

Required:

  • Strong time management, organizational and multitasking skills; ability to prioritize and manage multiple projects and deadlines.

  • Strong judgment and discretionary skills; demonstrated ability to handle sensitive and confidential information appropriately.

  • Must be able to flex schedule to meet work demands (e.g., early mornings, after hours when necessary).

  • Must display professional maturity and have ability to support and interact with all levels of management.

  • Advanced proficiency with Microsoft Word and PowerPoint

  • Basic proficiency with Microsoft Excel and PeopleSoft Financials

  • Excellent interpersonal and communications skills.

Working Conditions/Physical Requirements:

  • The incumbent works in an office environment.

  • Position does not require travel.
