Administrative Assistant - Community Development
The Administrative Assistant is responsible for providing support to the department’s statewide Community Development Team and Education and Workforce Development Team. The position reports to the Manager of Community Development. The candidate must be able to work seamlessly with the Community Development team, Education & Workforce Development team, research analysts, engineers, and creative team to schedule and support meetings in the Georgia Experience Center. The position is located out of Centergy building at 75 5 th Street NW, Suite 150/175 Atlanta, GA 30308.
Duties will include, but are not limited to, the following tasks:
JOB DUTIES & RESPONSIBILITIES
Processing expense reports and maintaining records
Processing invoices and check requests for entire C&ED organization
Video conference, Skype Conference and other phone meeting set up
Meeting minutes and action item tracking
Making travel arrangements
Ordering and maintaining office supplies
Maintaining timekeeping records, reports, and time entry
Arranging logistics for meetings as needed (procure location, invite attendees, set-up, scheduling catering, clean-up, etc.)
Create and revise room layouts for each event.
Ensure office cleanliness at end of each day and adjust rooms as needed (making sure space is always ‘ready’ for visitors)
Provide backup coverage for other administrative assistants when they are away from the office
Other duties as needed
JOB EXPERIENCE & EDUCATION
High School Diploma required. College degree preferred.
Extensive experience secretarial/administrative experience in a busy, fast-paced environment.
Experience supporting a large department is highly desired
Experience and proficiency using Invoice/Expense systems, Timekeeping, and Microsoft Office products (i.e., Word, One Drive, Outlook, PowerPoint, and Excel) preferred
KNOWLEDGE, SKILLS & ABILITIES
Knowledge and use of general office administration/management practices and equipment desired
Possesses strong interpersonal and teambuilding skills, including good listening skills
Ability to effectively interact with a variety of position levels and personalities
Able to successfully perform multiple tasks simultaneously, successfully
Ability to handle large volume of work, in a fast-paced environment
Exceptional organization skills with ability to prioritize and multi-task
Exceptional communication and listening skills while demonstrating a high level of attention to detail
Ability to build and maintain relationships with administrative staff including external network
Ability to make decisions and anticipate next steps
